Asset Manager (Nashville, Tennessee)
Manage strictly multi-family assets in the Southeastern US, primarily Tennessee and Florida. Act as the company’s day-to-day liaison with the local fee management companies who oversee our portfolio. Oversee property operations to maximize net operating income by increasing rent revenue and controlling expenses. Manage these goals by performing the following duties personally or through subordinate supervisors.
Essential Duties and Responsibilities
Financial Functions:
- Preparation of an annual operating and capital budget required for each property
- Review financial statements each month to determine performance versus actual
- Work with Director of Asset Manager to stay within budget parameters
- Develop expense controls as needed
- Perform financial analysis related to leasing, sales activities, asset and capital improvement budgeting and some asset management plans
- Review and approve all property-related invoices in excess of $3,000
- Review aged delinquency reports on a monthly basis and formulate appropriate collection plans
- Provide direction for eviction and small claims case legal actions
- Review project proposals for capital and operating projects as approved by G. W. Williams for both capital and operating budgets
- Assist in due diligence (DD) for new acquisitions and refinances
- Review and approve settlement statements for Asset Management related items
- Tour and aid in evaluating new sites for purchase and redevelopment
- Review, manage and submit lender reserve requests as applicable to current and new sites
- Obtain new business license for new acquisitions
Marketing/Leasing Functions:
- Review vacancy reports, traffic reports and market surveys to make recommendations or adjustments on rent rates and sales efforts
- Supervise marketing programs as well as refreshing or creating new sales documents (brochures, print ads, etc.)
- Implement programs to improve resident retention
- Review leases to ensure compliance to company standards and policy changes
Administrative Functions:
- Attend weekly company meetings and provide updates on current activities
- Prepare written monthly agenda report
- Inform the Director of Asset Management of all instances where a property is operating below company standards and formulate action plans to return these assets to proper performance
- Act as liaison between G.W. Williams Co. and vendors, community, and residents
- Adhere to all company policies and procedures
- Maintain records as needed for the properties and residents
- Review proposed tenant renewals and make adjustments as needed
- Coordinate broker tours
- Audit sites for lease compliance as needed or required
- Review and assist with weekly reporting, project status, and flash reports for assigned regions
Tenant & Community Relations:
- Advise fee managers on how to handle tenant complaints efficiently, courteously, and in a professional manner
- Deal directly with city and/or county officials regarding a wide range of topics
- Engage in site staff communication and procedure compliance
Operations Functions:
- Physically inspects all properties on a regular basis and report findings to Director as needed
- Routinely inspect vacant units to see that they meet the company's standards for appearance
- Make recommendations for capital improvement projects
- Approve detailed scopes of work and bid documents for competitive bidding and finalize vendor contracts and/or PO’s
- Approve and/or amend annual service contracts for the maintenance and upkeep of landscaping, roofing, pools, spas, HVAC systems, etc.
- Inspect and approve work completed by outside vendors
- Recommend and supervise preventative maintenance procedures
- Stay abreast of local political and environmental issues that may affect the properties and/or their residents
- Answer after-hours and weekend emergency calls and contact appropriate maintenance personnel or outside vendors
Miscellaneous:
- Dependable personal transportation required for the job
- Valid driver’s license required
- Effective time management required
- Regular attendance at the job is essential
- Ability to travel to assigned markets at least every 6 weeks or as needed for scheduled company tours
Education and Experience
- Bachelor's degree from a four-year college
- Minimum of seven years’ experience and/or training; or equivalent combination of education and commercial and multi-family experience strongly preferred
- Must have knowledge of PC-based systems including Windows
- Proficiency in Word, Excel and property management software required, Yardi experience preferred
- Familiarity with email systems, calendar, and database programs required
- Advanced understanding of multifamily operations required
- Basic construction/technical knowledge and experience preferred
- Working knowledge of landscape horticulture and arboricultural and plant materials is helpful
